What is voicemail transcription?

Voicemail transcription converts a recorded voicemail into readable text. When a customer leaves a message on your business number, Numberline records it, writes out what the caller said, and delivers both, so you can read the message in a meeting or after hours and listen to the recording when you need to.

Every voicemail includes the recording and a transcript. Grow and Max also include an AI summary in the email. Transcription can make mistakes with names, numbers, and unclear audio, so the recording is always kept with the message. Compare plans →

The recording Every plan

The caller’s actual voice, kept with the message. Play it in the app or open the MP3 attached to the email.

The transcript Every plan

What the caller said, written out in their own words. Read it when you cannot listen.

An AI summary Grow & Max

In the email on Grow and Max: one line above the transcript with what the caller wants and when they need a callback.

How business voicemail transcription works

One message from start to callback: Dana calls Reyes Plumbing, nobody can pick up, and she leaves a voicemail.

1

A customer leaves a message.

When your unanswered-call or after-hours rules send a call to business voicemail, the caller hears your voicemail greeting and leaves a message. It is recorded on the business number, not on anyone’s personal phone. What happens when nobody answers →

2

Numberline transcribes and delivers it.

The message is transcribed and sent to the places you chose for that extension: the Numberline inbox, an email with the transcript and the recording attached, and on Grow and Max a Slack notification. You choose which addresses receive each extension’s voicemails.

3

You read it and call back as the business.

Read the transcript, play the recording if a detail matters, then call Dana back from the message in the Numberline app. The app places the call over the internet from your business number, so Dana sees the business, not your personal number. Calls made from your personal cellular line show your personal number. To call using your Numberline business number, start the call in Numberline. Where to read your voicemail & get notified

Read your voicemail in Numberline or email. On Grow and Max, get notifications in Slack too.

Numberline inbox Every plan

  • Every business voicemail with the transcript and the recording to play.
  • The caller, the extension, and the call history for that number.
  • Call back from the message using the business number.
In practiceYou are between jobs and check the app before the next one. You read Dana’s message, then call her back from the business number.

Email Every plan

  • An email for each voicemail with the transcript in the body.
  • The recording attached as an MP3.
  • On Grow and Max, an AI summary in the email, above the transcript.
  • Sent to the addresses you set for each extension.
In practiceYou are in a meeting. You open the email, read the transcript without playing anything, and know Dana wants Thursday morning.

Slack Grow & Max

  • Get voicemail notifications in Slack, in the channel you choose.
  • Open Numberline to read the message and call back.
In practiceA message left after hours shows up as a notification in the channel. Whoever sees it first opens Numberline, reads it, and picks it up. How Slack works →
In a meeting. Read the transcript in the email and decide whether it can wait.
After hours. Check a message left after hours in the app before you open, and call back from the business number.
Before a callback. Play the recording to confirm a name or a number the transcript may have missed.

Transcripts and email delivery are included on every plan. AI voicemail summaries and Slack notifications are included on Grow and Max. Compare plans →

Voicemail transcription questions

Where can I read my voicemail transcripts?
In the Numberline app and web inbox, where every business voicemail appears with its transcript and recording, and in the email Numberline sends for each message, with the transcript in the body. On Grow and Max, you can also get a voicemail notification in Slack, then open Numberline to read the message and call back.
Can I still listen to the original recording?
Yes. The recording is kept with the message. Play it in the Numberline app or web inbox, or open the MP3 attached to the email. The transcript is a convenience for reading; the recording is always there when you want to hear exactly what the caller said.
Can other people in my business access the messages?
Yes. Business voicemails live in the shared inbox that everyone you add can see, and users are unlimited on every plan. Each extension has its own email recipients, so Service voicemails can go to different people than Billing voicemails.
Can I receive voicemail notifications in Slack?
Yes, on Grow and Max. Connect Slack and choose a channel, and you get a notification there for each new business voicemail. Open Numberline to read the message and call back. Slack notifications are not included on Lite.
What is the difference between a transcript and an AI summary?
A transcript is the caller's message written out word for word, as closely as the audio allows. An AI summary is a short line that states what the caller wants and when they need a callback, placed above the transcript in the email so you can take in a long message quickly. Transcripts are included on every plan. AI voicemail summaries are included on Grow and Max.
How accurate are voicemail transcripts?
Good enough to read and act on most messages, but not perfect. Transcription can make mistakes, especially with names, phone numbers, addresses, and unclear or noisy audio. When a detail matters, play the recording, which is always kept with the message. We do not publish an accuracy percentage.
Which plans include transcription?
Every plan, including Lite, includes business voicemail with the recording and transcript emailed to the addresses you choose, and the shared inbox where the team can read and play messages. AI voicemail summaries and Slack notifications are included on Grow and Max. See the pricing page for the full comparison.
