Numberline Privacy Policy

Numberline Inc. ("Numberline," "we," "us," or "our") provides a business phone system that helps businesses use business numbers for calls, voicemail, text messaging, routing, shared inboxes, and supported integrations. This Privacy Policy explains how we collect, use, disclose, and retain personal information when people visit our website, create or use a Numberline account, use our applications, contact us, or call or text a business using a Numberline number.

This Policy applies to Numberline's own handling of personal information. A business using Numberline controls how it communicates with its customers and how it uses its customer records. That business's own privacy notice also applies to its handling of information.

1. Our Roles

For account administration, billing, business verification, security, fraud and abuse prevention, service analytics, support, legal compliance, and Numberline's own operations, Numberline generally determines why and how personal information is processed and acts as a controller or business under applicable privacy laws.

For call, message, voicemail, contact, and other customer information that we process to provide the Service at a business customer's direction ("Customer Communications"), the business customer generally determines the purposes and means of processing. Numberline acts as the customer's processor or service provider, as those terms are defined by applicable law. The customer is responsible for its notices, consents, instructions, and lawful use of Customer Communications.

If you called or texted a business and want to exercise rights concerning the business's records, contact that business first. We will assist our customer with a valid request as required by law and our agreement with the customer.

2. Information We Collect

2.1 Account and Profile Information

We collect information used to create and administer an account, such as name, business name, job title, email address, telephone number, login information, team membership, roles, preferences, profile information, and communications with Numberline.

2.2 Business Verification and Telecommunications Registration

We may collect legal business name, entity type, tax identification number, business address, website, industry, beneficial-owner or authorized-representative information, identification or authorization documents, messaging use case, sample messages, consent method, and other information required by carriers, messaging registries, numbering administrators, or law.

2.3 Billing and Transaction Information

We collect plan, subscription, invoice, payment status, billing contact, billing address, tax information, usage, and transaction records. Our payment processor collects payment-card or bank information. Numberline generally receives a payment token and limited details such as card type, expiration date, and last four digits rather than the full card number.

2.4 Customer Communications

Depending on the features and settings used, we process:

  • telephone numbers of callers, message senders, recipients, forwarding destinations, and contacts;
  • call direction, time, duration, status, routing path, extension, menu selections, device, carrier, and related call-detail records;
  • live call audio as needed to connect and transmit a call;
  • call recordings when a business enables recording;
  • voicemail audio, greetings, and transcripts;
  • SMS, MMS, and other supported message content, attachments, delivery status, opt-out status, and conversation history;
  • names, notes, tags, and other contact information entered, imported, or associated with a conversation;
  • communications sent to email, push notifications, Slack, WhatsApp, webhooks, third-party AI answering services, or other integrations enabled by the business; and
  • support access or diagnostic information when a customer asks us to investigate a communications issue.

A business and its Authorized Users may access Customer Communications in that business's account. Numberline and the service providers described below process them as necessary to transmit, route, store, display, transcribe, secure, support, and comply with law for the Service.

2.5 Device, Application, Website, and Usage Information

We collect information such as IP address, browser, device type, operating system, app version, device or cookie identifiers, pages and features used, clicks, session times, referring pages, logs, error reports, crash data, performance data, network information, and approximate location inferred from IP address.

Our applications may request access to a device microphone to place and receive calls, notifications to alert users, camera or files to upload content, and contacts to display or use contact information. The application will request device permission when required. A user may change permissions in device settings, but some features may not work.

2.6 Emergency Calling and Location Information

If a user has access to outbound calling, we may collect and process the physical address or other dispatchable location registered for 911/E911 purposes, location confirmations and updates, the telephone number or endpoint associated with that location, and records showing that emergency-calling disclosures were presented and acknowledged. For non-fixed or nomadic use, we may also process device, application, network, IP, location-service, or other available location information to determine whether the Service may be in use from a location different from the registered emergency location, prompt for an update, route an emergency call, or comply with 911 requirements.

Emergency-location information may be disclosed to telecommunications providers, emergency-calling vendors, emergency call centers, public safety answering points, emergency authorities, and governmental entities as necessary to route or support an emergency call, provide callback and location information, test or maintain emergency-calling functionality, or comply with law.

2.7 Cookies and Similar Technologies

We use cookies, local storage, software development kits, and similar technologies for authentication, security, preferences, service operation, analytics, and performance. We do not use Customer Communications content for behavioral advertising.

2.8 Support, Feedback, and Other Information

We collect information provided in support requests, surveys, demonstrations, sales conversations, feedback, abuse reports, legal requests, or other communications with us. Calls with Numberline may be recorded if we provide notice and obtain any required consent.

2.9 Information From Other Sources

We may receive information from a business customer or its administrator, End Users, telecommunications providers and carriers, payment processors, identity and business-verification vendors, app stores, integrations, fraud and security vendors, public business records, and other providers involved in the Service.

3. Mobile Information and Text Messaging Privacy

Mobile information, including mobile telephone numbers, text-message originator opt-in data, and consent records, will not be sold, rented, or shared with third parties or affiliates for their own marketing or promotional purposes.

We may disclose mobile information to telecommunications carriers, messaging intermediaries, hosting and security providers, and other vendors solely as necessary to deliver, route, secure, support, troubleshoot, and comply with law for the messaging service. Text-message originator opt-in data and consent will not be disclosed to third parties for unrelated purposes.

Message content and telephone numbers are available to the business contacted and its Authorized Users. They are also processed by Numberline and the providers necessary to deliver and store the conversation, and may be sent to an integration the business chooses to enable. We do not use text-message content for advertising.

Numberline's messaging feature is conversational and customer-initiated. A business may reply after a person first texts that business's Numberline number. Numberline does not offer marketing, promotional, recurring, cold-outreach, or bulk messaging. Message frequency varies by conversation, and there is no scheduled or recurring send. Message and data rates may apply.

Reply STOP to stop messages from that business number. A clear opt-out request will be honored. One confirmation may be sent, after which no further messages will be sent unless the recipient later initiates a new conversation or otherwise provides valid consent. Reply HELP for help or contact the business directly. Participating carriers are not responsible for delayed or undelivered messages.

4. How We Use Information

We use personal information to:

  • create, authenticate, administer, and secure accounts;
  • assign or port numbers and complete business, identity, carrier, and messaging registration;
  • connect, route, transmit, display, store, search, and manage calls, texts, voicemail, recordings, transcripts, contacts, and integrations;
  • provide and support 911/E911 calling, validate and maintain emergency locations, route emergency calls, provide callback and location information, present emergency-calling notices, and document required acknowledgements;
  • process billing, subscriptions, usage, taxes, refunds, disputes, and collections;
  • provide customer support, troubleshoot, communicate about the Service, and respond to requests;
  • detect, investigate, prevent, and address spam, fraud, toll fraud, abuse, security incidents, prohibited content, and violations of law or carrier rules;
  • maintain, monitor, analyze, debug, and improve the reliability, safety, accessibility, and performance of the Service;
  • enforce our agreements and protect Numberline, our customers, End Users, carriers, providers, and the public;
  • comply with legal, regulatory, tax, accounting, telecommunications, and carrier obligations; and
  • create aggregate or deidentified information for analytics, capacity planning, security, fraud prevention, and service improvement.

We do not sell personal information. We do not use Customer Communications content to create advertising profiles or serve targeted advertising. We do not disclose mobile opt-in information for third-party marketing or promotion.

5. How We Disclose Information

We may disclose personal information as follows:

5.1 To the Business and Its Authorized Users

Customer Communications and related records are available to the business using the number and to users that business authorizes. The business determines its users, permissions, forwarding destinations, exports, and use of the information.

5.2 Telecommunications and Messaging Providers

We disclose information to telecommunications providers, carriers, messaging aggregators, numbering administrators, messaging registries, caller-identification and reputation providers, and similar entities to obtain and port numbers, complete registration, connect calls, deliver messages, prevent abuse, troubleshoot, and comply with their requirements.

5.3 Emergency Services and Emergency-Calling Providers

When emergency calling is used or configured, we may disclose a caller's telephone number, registered or detected location, call information, and other information necessary to emergency-calling providers, emergency call centers, public safety answering points, emergency authorities, carriers, and governmental entities to route the call, enable callback, provide location information, support emergency response, test or maintain the service, or comply with law.

5.4 Service Providers

We use providers for cloud hosting, databases, storage, content delivery, security, authentication, payment processing, email, push notifications, customer support, analytics, error monitoring, transcription, and other operations. They may process information only to provide services to us or as otherwise permitted by law and contract.

5.5 Customer-Enabled Integrations and Destinations

At a customer's direction, we disclose information to telephone forwarding destinations, email recipients, Slack, WhatsApp, webhooks, third-party AI answering services, customer-selected applications, and other integrations. Once information is transmitted to a customer-selected third party, that third party's terms and privacy policy govern its handling of the information.

5.6 Professional Advisers and Corporate Transactions

We may disclose information to lawyers, accountants, auditors, insurers, lenders, investors, and advisers subject to appropriate duties. We may also disclose information in connection with a merger, financing, acquisition, reorganization, bankruptcy, sale of assets, or similar transaction, subject to customary confidentiality protections where appropriate.

5.7 Legal, Safety, and Rights Protection

We may preserve, access, review, or disclose information when we reasonably believe it is necessary to comply with law, legal process, a carrier or regulatory requirement, or a valid governmental request; enforce agreements; collect amounts due; protect rights, safety, property, networks, or the Service; investigate fraud, abuse, or security incidents; or prevent harm. When appropriate and legally permitted, we seek to narrow requests and notify the affected customer.

5.8 With Consent or at Direction

We may disclose information for another purpose when the person or business with authority directs us or provides consent.

6. No Sale; No Targeted Advertising

We do not sell personal information for money or other valuable consideration. We do not share personal information for cross-context behavioral advertising, as those terms are defined by applicable U.S. state privacy laws. We do not use or disclose Customer Communications content for targeted advertising.

Because we do not sell or share personal information for cross-context behavioral advertising, there is no sale or sharing to opt out of. If our practices change, we will update this Policy and provide any legally required notice and choice before the change applies.

We may use analytics providers acting as our service providers to understand how the website and Service perform. They are not permitted to use Customer Communications content for their own advertising.

7. Communications Content, Confidentiality, and CPNI

We treat Customer Communications as confidential customer information and limit access to personnel and providers who need it to provide, secure, support, or legally protect the Service. We may use automated systems to route communications, generate transcripts, detect spam or abuse, and identify technical problems. Limited human access may occur when a customer requests support, when reasonably necessary to investigate abuse or security, or when required by law.

Certain call-detail and service-usage information may constitute Customer Proprietary Network Information ("CPNI") under federal law. To the extent CPNI requirements apply to Numberline, we protect, authenticate access to, use, disclose, and retain CPNI as required by those rules. We do not sell CPNI or use it for unrelated third-party marketing.

8. AI, Transcription, and Automated Features

If a business enables voicemail transcription, call transcription, summaries, spam detection, automated routing, or a third-party AI service, audio, text, metadata, and related information may be processed by Numberline and the applicable providers to supply that feature.

Automated output may be inaccurate. A business should review important information before acting on it. Numberline does not use Customer Communications content to create advertising profiles. A customer-selected third-party AI or integration may process information under its own terms, and the customer should review those terms before enabling it.

9. Legal Bases Where Applicable

Where a law requires us to identify a legal basis, we process personal information as necessary to perform a contract or provide requested services; pursue legitimate interests such as security, fraud prevention, support, and service improvement; comply with legal obligations; protect vital interests; or based on consent. A person may withdraw consent where consent is the basis, without affecting prior lawful processing.

10. Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including providing the Service, preserving customer-selected history, honoring opt-outs, maintaining security, preventing fraud, resolving disputes, enforcing agreements, and meeting legal, accounting, tax, telecommunications, carrier, and backup obligations.

Retention depends on the information and context:

  • Customer Communications: generally retained while the account is active, according to the customer's settings and plan, or until the customer deletes them. After account closure, we retain active copies for a limited period to allow orderly termination, recovery from accidental deletion, fraud review, legal compliance, and backup rotation, then delete or deidentify them unless a longer period is required.
  • Account, verification, billing, and transaction records: retained for the account relationship and afterward as reasonably necessary for tax, accounting, audit, fraud, dispute, carrier, and legal obligations.
  • Emergency-calling records: emergency locations, location updates, acknowledgements, and related records are retained as reasonably necessary to provide emergency calling, document compliance, resolve incidents or disputes, and satisfy telecommunications and legal obligations.
  • Consent, opt-out, complaint, and suppression records: retained as long as reasonably necessary to document compliance and honor the person's choice. We may retain a minimal suppression record after other content is deleted.
  • Security and technical logs: retained for a period reasonably necessary to secure, troubleshoot, and protect the Service.
  • Backups: deleted on a rolling schedule unless preserved for security, legal hold, disaster recovery, or another lawful reason.

A business customer may have its own retention obligations and controls. Deletion from Numberline does not delete copies previously exported, forwarded, or sent to a customer-selected integration or recipient.

11. Security

We use administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, and disclosure. Safeguards may include access controls, authentication, encryption where appropriate, logging, monitoring, vendor review, and incident-response procedures.

No service can guarantee absolute security. Customers are responsible for securing credentials, devices, forwarding destinations, integrations, user permissions, downloaded data, and their own systems. Contact security@numberline.com promptly if you believe an account or information has been compromised.

If a security incident affects personal information, we will investigate and provide notifications as required by applicable law and our contracts.

12. Your Privacy Rights

Depending on where you live and which law applies, you may have rights to request access to or a copy of personal information; correction; deletion; portability; information about categories, sources, purposes, and recipients; restriction or objection; withdrawal of consent; or an appeal of a denied request. Some laws also provide rights concerning sale, targeted advertising, profiling, or sensitive information. We do not sell personal information or use Customer Communications content for targeted advertising.

12.1 Account Users and Website Visitors

To make a request concerning information Numberline controls, email privacy@numberline.com. Describe the request and identify the account or interaction involved. We may verify identity and authority, request additional information, and deny or limit a request where permitted by law, including to protect security, another person's rights, confidential information, or legal obligations.

An authorized agent may submit a request where permitted by law, but we may require proof of authorization and verification of the individual. We will not discriminate against a person for exercising a privacy right.

To appeal a decision where a right to appeal applies, reply to our decision or email privacy@numberline.com with "Privacy Appeal" in the subject line.

12.2 People Who Contacted a Numberline Customer

If your information is part of a business's Numberline account because you called or texted that business, contact the business first. The business controls its customer records and decides how they are used. If you contact Numberline, we may forward the request to the business or ask you to identify it, and we will assist as required.

12.3 Browser Signals

We do not currently sell or share personal information for cross-context behavioral advertising. We therefore do not treat Global Privacy Control or Do Not Track signals as changing a sale or sharing practice that does not occur. We will honor browser-based opt-out signals where required if our practices change.

13. Children's Privacy

Numberline accounts are for business users age 18 or older. The Service is not directed to children under 13, and Numberline does not knowingly collect personal information directly from children under 13 for its own purposes. A business customer may receive a communication involving a minor, and that business is responsible for complying with laws applicable to its audience and use.

If you believe a child under 13 provided personal information directly to Numberline outside a customer communication, contact privacy@numberline.com so we can review and take appropriate action.

14. Health and Other Regulated Information

Unless Numberline expressly offers an eligible service and signs a Business Associate Agreement with the customer, the Service is not intended to process protected health information subject to HIPAA. A business should not use Numberline for HIPAA-regulated information until the required agreement is in place and should confirm which features and integrations are covered.

Likewise, customers should not submit full payment-card information, authentication secrets, Social Security numbers, or other highly sensitive information unless Numberline has expressly agreed in writing to support that use.

15. International Processing

Numberline is based in the United States, and personal information may be processed in the United States and other countries where our providers operate. Those countries may have different privacy laws. Where required, we use contractual or other lawful safeguards for cross-border transfers.

The Service is currently intended for U.S. business customers unless Numberline approves another use in writing. A business subject to non-U.S. privacy law should contact privacy@numberline.com before using the Service so the parties can determine whether additional terms are required.

16. Changes to This Policy

We may update this Policy to reflect changes in the Service, law, or our practices. We will post the updated Policy and revise the effective date. If a change materially reduces privacy protections or changes how we use Customer Communications, we will provide additional notice when required by law or reasonably appropriate.
